Steps to Request a Reservation: Clubs and Associations

  1. Make sure your Club or Association is registered and acknowledged by the SUS.
  2. If the event being planned involves the consumption of alcohol, it is mandatory to submit an event request to UFV Student Services Department through ufv.ca/studentservices/vp-students.
    The event must be approved by the UFV Student Services Department and by UFVSUS in order to proceed.
  3. Visit the Club or Association reservation portal and submit a reservation (only Club or Association executives can submit a reservation request)
    1. Please be as clear and extensive as possible. This will make all your process smoother. At this point your reservation status is requested but the reservation is not yet complete.
    2. If necessary you will receive an email from the SUB Facilities team requesting more information about your event.
    3. Provide all information requested by the SUB Facilities Team
  4. SUB Facilities Team will send you the event Contract and Terms & Conditions and quote (if necessary)
  5. Read, sign and send back the Contract and Terms & Conditions to the SUB Facilities team.
  6. The SUB Facilities team will confirm your reservation (please keep this confirmation email available for any inquiries)
  7. Enjoy event!
  8. Clean up all garbage and all equipment used during the event

  1. Submit a reservation request through appropriate portal.

    1. Please be as clear and extensive as possible, this will make all your process smoother. At this point your reservation status is requested but the reservation is not yet complete
    2. If necessary you will receive an email from the SUB Facilities Team requesting more information about your event
    3. Provide all information requested by the SUB Facilities Team
  2. The SUB Facilities Team will send you a quote and an event contract
  3. Read, sign, and send back the Contract and Terms & Conditions to the SUB Facilities Team
  4. The SUB Facilities Team will confirm your reservation (please keep this confirmation email available for any inquiries)
  5. Enjoy event!
  6. Clean up all garbage and all equipment used during the event
